Service Scheduling Coordinator

This role is not administrative support.
It is operational control.

We are looking for a high-caliber Service Scheduling Coordinator to own and drive the daily scheduling and intake flow for window service within our Window division. These are active service files related to our installed window products — warranty calls, adjustments, parts replacements, remakes, and technical service visits. You will be coordinating directly with homeowners, builders, project managers, technicians, and production. The schedule is the heartbeat of the department. It dictates technician productivity, customer satisfaction, and overall service performance.

This role requires someone who thrives in volume, makes strong decisions quickly, and brings structure to moving parts. If you perform best when things are busy, deadlines are tight, and you are the person everyone relies on to keep work moving forward, this is the role for you.

What You Will Be Responsible For

Own the Service Schedule

  • Build, maintain, and adjust the technician schedule in real time
  • Maintain a minimum two-week forward outlook
  • Balance urgency, geography, job complexity, and parts availability
  • Protect schedule integrity while adapting to daily changes

Control Intake & Workflow

  • Triage high-volume service requests via phone and email
  • Assess scope, urgency, and chargeability
  • Create accurate, detailed work orders
  • Track files from intake to completion without backlog

Align Parts, Production & Appointments

  • Identify required parts or remakes
  • Coordinate with production on timelines
  • Align scheduling with product availability
  • Prevent delays through forward planning

This is a high-volume, fast-moving environment. The workload is significant and priorities shift daily. Success requires disciplined prioritization, independent judgment, and the ability to stay composed under pressure.

Qualifications

  • 3+ years of scheduling, service coordination, or operations support experience
  • Experience managing high-volume workflows with competing deadlines
  • Strong system proficiency (ERP, service software, scheduling platforms)
  • Excellent organizational discipline and follow-through
  • Confident decision-making ability
  • Strong written and verbal communication skills
  • Experience in construction, manufacturing, or service environments is an asset
